Beth David Congregation is one of the most dynamic egalitarian conservative congregations in Toronto. It contains the rich history of the B’nai Israel congregation, and the Beth Am congregation. We provide a place of worship, study and gathering for all age groups, including seniors and young families. Today Beth David successfully accommodates the flourishing Montessori Jewish Day school on its property and celebrates its 70th anniversary in 2025.
The Opportunity:
The Administrative Assistant plays a vital role in managing communications, graphic design, coordinating events, maintaining databases, and ensuring the smooth operation of administrative tasks. The ideal candidate will be highly proficient in various software platforms and able to learn new systems quickly.
Additionally, this role involves working closely with synagogue committees to support event promotions, fundraisers, and membership drives. The Assistant will also handle membership renewals and inquiries about donations and sponsorships, providing essential guidance to community members.
Key Responsibilities:
Communications & Newsletters
- Create and distribute weekly e-newsletters (Shabbat Shalom, Events & Opportunities).
- Design and print weekly newsletters for distribution.
- Draft and send special announcements, event reminders, and Board updates.
Event Coordination & Marketing
- Work with committees to promote events, fundraisers, and membership drives.
- Graphic design and distribution of flyers for events (print, website, social media).
- Manage event pages on the website, including registration forms and payment options.
- Track event registrations and provide reports to committees.
Membership Support
- Assist with membership renewals and maintain accurate records.
- Handle member inquiries regarding donations, sponsorships, and event participation.
- Support fundraising campaigns by ensuring timely communication with members.
Database & Website Management
- Maintain and update content on the synagogue website.
- Manage the member portal, including service times and navigation updates.
- Utilize ShulCloud for database management, including creating tags, creating and running reports, and organizing files.
Administrative & Office Support
- Generate documents using Microsoft Word & Excel, including mail merges, spreadsheets, and membership lists.
- Manage synagogue letterhead, event booklets, and signage.
- Order office supplies and coordinate with vendors.
Technology & Digital Platforms
Manage Zoom accounts, schedule meetings, and download recordings.
Oversee the synagogue’s YouTube channel, uploading and organizing recordings.
Utilize Canva for flyer and graphic design.
Monitor Google Analytics and manage shared calendars.
What you will need to qualify:
- Minimum of 3 years of related experience
- Strong computer proficiency with the ability to learn new software quickly.
- 3 years of experience with ShulCloud, Canva, Microsoft Word & Excel.
- Excellent organizational and multitasking skills.
- Strong written and verbal communication abilities.
- Ability to work independently and collaboratively in a team environment.
- Detail-oriented with a proactive approach to problem-solving.
Work environment:
- Onsite position at Beth David Synagogue in Toronto, Canada.
- Full-time role with standard office hours and occasional evening/weekend responsibilities for events.
