Job Title: Digitization Transformation Specialist (Consultant)

Location: Hybrid (Greater Toronto Area)


Contract Duration: August 2025 – August 2026 (with potential 12-month extension)

Work Hours: 35 hours/week (7 hours/day, Monday to Friday; 1-hour unpaid lunch)


Work Arrangement: Hybrid – minimum two days on-site per week

Travel: Occasional travel between office locations may be required



About the Role:

Our client is seeking an experienced Digitization Transformation Specialist to support the development and implementation of a new enterprise-wide Digitization-as-a-Service (DaaS) program. This role is ideal for professionals with strong experience in digitization initiatives, intake process development, and document management systems.



The consultant will lead intake process design, support digitization operations for small to large batch volumes, and coordinate with both internal teams and external vendors to ensure consistent, high-quality outcomes.

Key Responsibilities:


Program Development:

  • Design and implement a digitization intake process, including request forms, service tracking tools, and reporting structures.
  • Support the creation of a centralized program office to manage digitization activities.
  • Assist in initiating procurement (RFP) processes for large-scale scanning needs.
  • Develop quality control processes and collaborate on establishing a cost model with internal stakeholders.

Service Implementation:


  • Build standardized workflows for internal digitization partners.
  • Develop procedures for small and medium-volume digitization using internal resources and Multi-Function Devices (MFDs).
  • Finalize and support internal service level agreements.

Full-Scale Deployment:

  • Support external vendor coordination for large-volume digitization efforts.
  • Oversee full rollout of digitization services to all departments.
  • Implement centralized monitoring and reporting systems.
  • Configure content repositories and support the development of a communication and documentation site.

Required Qualifications and Experience:



Experience:

  • Minimum 5 to 10 years of relevant professional experience in digitization, information management, or digital transformation programs.
  • Proven experience in managing cross-functional digitization initiatives involving intake process design, workflow optimization, and internal/external stakeholder coordination.


Education:

  • Degree in Computer Science, Information Management, Business, or a related field.

Mandatory Certifications:

  • Enterprise Content Manager Practitioner or higher (AIIM) – Certificate required
  • Lean Six Sigma (Green Belt or higher) – Certificate required
  • Change Management Certificate (PROSCI) – Certificate required
  • Active membership in good standing with AIIM (proof required)

Technical and Functional Skills:

  • Proven experience in developing document digitization workflows and applying information management principles
  • Proficiency with Microsoft 365 tools, including Power Automate, Power Apps, and SharePoint
  • Strong verbal and written communication skills
  • Customer service orientation and analytical problem-solving ability

Preferred Qualifications:


  • Certified Information Professional (AIIM)
  • Certified Business Analyst Professional (CBAP)
  • Electronic Records Management Practitioner (AIIM)
  • Experience managing cross-functional projects
  • Strong organizational and time management skills
