Our client, a well-respected regional law firm located in downtown Toronto, is currently seeking a Document Specialist to join their dynamic and growing team. The firm offers a uniquely collegial and collaborative work environment, similar to that of a boutique firm, yet supported by the infrastructure and resources of a larger organization.
The Role:
Reporting to the Supervisor of Legal Support Services, the Document Specialist will be a key member of the Document Services team. Working in a fast-paced and collaborative setting, this role involves supporting the preparation, revision, and management of complex legal documents across multiple practice areas, with a focus on litigation and corporate law.
Key responsibilities include:
- Creating, revising, and formatting documents in accordance with firm templates
- Troubleshooting document formatting issues
- Converting PDF files to Word or Excel, and cleaning up formatting as needed
- Repairing corrupt Word documents and ensuring consistency with firm standards
- Creating and modifying Excel spreadsheets
- Preparing PowerPoint presentations using firm templates, including adding animations
- Performing document comparisons
- Creating PDF packages with hyperlinks
- Managing and prioritizing requests submitted to the Document Services inbox
- Providing administrative support such as entering dockets (3E), submitting expenses, preparing cheque requisitions, and updating client contact records
- Coordinating workflow and assignments within the Document Services team
- Transcribing digital or tape dictations

The Ideal Candidate:
The ideal candidate brings at least 2 years of experience in a document production role within a legal setting. You hold a Legal Assistant Certificate from a recognized institution and demonstrate a high level of skill in formatting, editing, and troubleshooting large legal documents. Proficiency with Microsoft Office 365 and Kofax PDF tools is essential.
