Job Title: Grant Writing & Management Coordinator

Location: North York (in-person, daily)


Job Type: Full-Time (40 hours per week)

Working Days/Hours: Monday to Thursday, 9 am – 6 pm, Friday: 9 am – 1 pm


Reports To: Office Manager

Salary Range: 50-55k CAD

Job Summary:

The Grant Writing & Management Coordinator is responsible for securing and stewarding funding to advance the organization’s mission and programs. This role oversees the full grant lifecycle-from prospect research and proposal development to submission, follow-up, and compliance reporting. The ideal candidate will be a highly organized, persuasive writer with strong project management skills, capable of balancing multiple deadlines while maintaining meticulous records of funding opportunities and outcomes.



Key Responsibilities:


  • Research and identify aligned grant opportunities from foundations, corporations, and government sources
  • Develop compelling grant proposals, letters of intent, and supporting documents
  • Manage the end-to-end submission process for all grant applications
  • Conduct follow-up communications with funders post-submission
  • Maintain a comprehensive calendar to track deadlines and reporting requirements
  • Prepare and submit timely reports and claims for active grants
  • Prioritize funding opportunities based on organizational needs and deadlines
  • Gather and synthesize data to strengthen funding requests
  • Create and maintain organized grant documentation and project files
  • Manage reporting for legacy grants awarded prior to tenure

Produce monthly reports detailing:


  • Active grants (name, award amount, disbursements, balance, next steps)
  • Submitted applications (pending decisions with full financial details)
  • Pipeline opportunities (in-progress applications with status updates)
  • Support additional development initiatives as needed


Requirements:

  • Bachelor’s degree in English, Communications, Nonprofit Management or related field
  • 2+ years professional grant writing experience with demonstrated success
  • Portfolio of awarded grants (foundation, corporate and/or government)
  • Exceptional persuasive writing and editing abilities
  • Strong research and data analysis skills
  • Meticulous attention to detail and compliance requirements
  • Advanced organizational and project management capabilities
  • Proficiency with grant databases and management software
  • Ability to translate programmatic work into compelling narratives
  • Self-directed with ability to manage competing deadlines
  • Knowledge of nonprofit funding cycles and reporting standards
