Position Summary

The Manager, Access & Flow is responsible for the day-to-day operations of the Access and Flow team across inpatient and ambulatory care programs at Holland Bloorview Kids Rehabilitation Hospital (HBKR). You will coordinate and optimize client access, clinical flow, and bed allocation, ensuring efficient patient movement, reducing bottlenecks, improving bed utilization, and enhancing client and family care and satisfaction through strategic planning and real-time decision-making. You will develop the annual operating plan, including goals, objectives, and quality improvement initiatives, and lead strategic initiatives within these areas.

Reporting to the Senior Director – Client Flow and Clinical Operational Excellence, the Manager collaborates with multiple leaders and teams to advance technology and processes that facilitate exceptional client access towards "Care That’s Agile." This role oversees Registration, Intake, Scheduling, Clinic Flow Assistants, and Inpatient Clinical Leads, Access and Flow. This position falls within Salary Band I ($58.60 - $73.24/hr).

Key Responsibilities

  • Develop and implement strategies to optimize client flow across inpatient units and ambulatory settings, monitor client movement, identify bottlenecks, and minimize wait lists, admissions, transfers, and discharges.
  • Lead performance improvement initiatives related to client access, bed management, and transitions using data analysis and evidence-based practices to improve efficiency and outcomes.
  • Collaborate with clinical leaders, department managers, and external partners to maintain effective communication and policies for client flow and transitions; ensure stakeholders are informed and aligned with hospital goals.
  • Monitor and respond to quality, safety, risk, and other performance indicators in a timely manner.
  • Support development of requests for centralized intake, scheduling, registration, and clinic coordination supports to medical clinics.
  • Assess opportunities for cost-effective service delivery (e.g., interpretation services) across inpatient and ambulatory platforms.
  • Assist with the implementation of new Meditech modules and enhancements; contribute to strategic decisions regarding new technological innovations in access and flow.
  • Manage human resources for multiple staff and collaborate with the Senior Director on staffing, recruitment, retention, development, and disciplinary matters as needed.
  • Lead staffing planning and development to ensure appropriate resources across service areas.

Qualifications

  • Minimum of two years of management or leadership experience in a health care setting required.
  • Master’s degree in Health Administration / Business Administration or other relevant discipline required.
  • Previous related work experience in access and flow/patient flow is an asset.
  • Health Professional with relevant college registration (preferred).
  • Experience with Lean Six Sigma methodologies, project management, and data analysis in a health care setting (preferred).
  • Experience with access and flow/patient flow principles and frameworks (IISE / IHI).
  • Strong leadership skills with initiative and the ability to mobilize and manage human and material resources within the service area.
  • Demonstrated mental flexibility, sound judgment, diplomacy, and tact in interactions.
  • Accountability and ability to exercise independent discretion; ability to organize and prioritize operational and tactical work.
  • Ability to analyze complex financial and statistical data (workload and utilization indicators).
  • Effective people management, coaching, and mentoring skills with knowledge of management principles and practices.
  • Excellent communication and ability to build and sustain collaborative relationships internally and externally.
  • Commitment to research and quality management activities; ability to critically evaluate and refine project outcomes.
