Job Title: Mobile Associate
Location: Supporting Two Sites (Local Travel Required)
Compensation: $23 – $26 per hour (based on experience)
Overview:
We are seeking a flexible, adaptable, and dependable Mobile Associate to support the daily operations across two office locations. The ideal candidate will have a positive, bubbly attitude, thrive in a dynamic, service-oriented environment, and be comfortable working both independently and within a team. This hybrid role combines office coordination, receptionist support, and light facilities duties to ensure a smooth, welcoming experience for all employees and visitors.
Key Responsibilities:
Reception & Front Desk Duties:
- Greet visitors with warmth and professionalism, ensuring a welcoming environment.
- Manage visitor check-ins and security protocols.
- Answer and direct incoming phone calls in a courteous and efficient manner.
- Handle inquiries from clients, vendors, and internal staff.
- Maintain a clean, organized, and professional reception area.
- Receive and distribute mail and packages.
Office & Facilities Support:
- Provide on-site support at two locations; travel between sites as needed.
- Manage and maintain pantries, beverage stations, mailrooms, and print areas.
- Oversee meeting room setups, including scheduling, booking, and concierge-level service.
- Ensure conference rooms and shared spaces are clean, stocked, and set up for meetings.
- Assist with scheduling and setting up conference rooms, including AV needs and catering coordination.
- Support light cleaning and tidying of rooms as needed.
- Respond promptly to internal service requests with a customer-first attitude.
Administrative & Client Services Support:
- Perform administrative tasks such as data entry, document prep, and reporting.
- Prioritize and pivot between tasks to meet dynamic office needs.
- Maintain clear communication with team members and site leadership.
- Foster a positive client services culture, acting as a trusted point of contact.
Requirements:
- 1-2+ years of office experience in a professional environment.
- Excellent communication and interpersonal skills.
- Ability to multi-task, prioritize, and remain calm in fast-paced settings.
- Strong organizational skills and high attention to detail.
- Reliable, independent, and team-focused with a service mindset.
- Friendly, upbeat personality and professional appearance.
- Proficiency in Microsoft Office (Outlook, Word, Excel).
- Ability to lift light supplies and perform minor physical tasks.
