Proposals Specialist

The Proposals Specialist is responsible for supporting all tasks related to customer proposals and contracts. This individual is responsible for delivering quality submissions within customer deadlines.

The Proposals Specialist plays a key role in helping Stevens grow sales and margin, minimizing risk, and maintaining the highest level of customer experience.

Responsibilities

Under the supervision of the Proposals Manager, the duties and responsibilities of the role include, but are not limited to, the following:


• Accountable for the completion of opportunities (RFQ, RFP, RFI, NOI, quotes, etc.) for all current or potential customers

• Monitor designated bid websites for tender opportunities


• Evaluate the opportunity, review the contractual terms, and seek advice if required to determine its viability

• Solicit input when needed from Sales and/or colleagues in order to complete requests


• Solicit feedback from the Territory Manager, Sales and Marketing Leaders, or other colleagues, to determine margin or sell price based on specifics of the opportunity

• Negotiate and work with manufacturers when required, to receive product information, availability, and best pricing for opportunities


• Communicate with various departments to determine factors that impact costing

• Interacts directly with the customer on behalf of Stevens


• Establishes internal deadlines required to meet specified milestones within the bid, and prioritize

the work accordingly


• Organize the requirements of bids including but not limited to literature, Stevens documents, pricing, and samples

• Ensure the bid response meets all deadlines and is in the format specific to the opportunity


• Work with internal departments to setup new contracts, share product usages, review contractual

terms of the agreement, and coordinate signatures post award


• Track bids in progress, assess wins and losses and keep accurate records to assist with current and future opportunities

• Build and maintain templates for responses to ensure consistent and updated information is used


• Participate in staff, customer and vendor meetings


• Coordinate customer meetings, prepare presentation materials (e.g., PowerPoint decks), and support Stevens’ reputation through professional, well-prepared engagements



• Proactively research and gather information that may be useful for future opportunities

• Prioritize requests based on workload, resources, and deadlines


• Support projects and initiatives as needed

• Additional duties and responsibilities as required by management



Qualifications

• Minimum of three (3) years of experience in a similar role

• Medical industry experience is an asset


• University degree in a related field (business, marketing, finance) is an asset

• Willingness to partake in training programs


• Excellent communication skills, written and verbal

• Strong problem-solving skills


• Accountable and dependable

• Able to work in a team environment as well as independently


• Exceptional attention to detail and quality of work

• Good organizational, time management and prioritizing skills


• Ability to handle multiple priorities and tasks

• Ability to demonstrate a positive attitude, strong work ethic and lead by example


• Proficient in using a computer, including but not limited to Microsoft Office (Word, Excel, Outlook)

• This position interfaces with internal and external contacts:


• Internal: Customer Experience Representatives, Customer Experience Coordinators, Territory Managers, Regional Sales Manager, Director of Sales, Executive Team, Materials Management, Purchasing, Finance and Pricing and Proposals Team

• External: Customers and Manufacturing partners


Working Conditions


• Work normal business hours but may be required to work in the evenings, weekends, or outside normal working hours to complete deadlines

• Able to work on a computer for extended periods of time


• Required to spend long hours concentrating which will require attention to detail and high levels


of accuracy

• Required to meet a number of deadlines
