This role is essential in ensuring smooth front-office operations while supporting various administrative tasks that contribute to a positive and professional workplace environment. </p><p><b>Job Overview </b></p><p>As the first point of contact for visitors and clients, the Receptionist/Administrative Assistant creates a welcoming atmosphere and ensures efficient day-to-day operations at our front desk. This position also provides vital administrative support across departments, maintaining organization, accuracy, and professionalism in all interactions. </p><p><b>Key Responsibilities </b></p><p><b>Front Desk & Customer Service </b></p><ul><li>Greet and welcome visitors, creating a friendly and professional first impression. </li><li>Answer and direct incoming phone calls promptly and courteously. </li><li>Maintain a clean, organized, and inviting reception area. </li><li>Assist visitors and customers by providing information or directing them to the appropriate personnel. </li></ul><p><b>Administrative Support </b></p><ul><li>Process and manage incoming cheques, including verifying account details, preparing deposits, and maintaining deposit logs. </li><li>Assist with document management such as scanning, copying, and forwarding shipping/receiving forms. </li><li>Update information in company systems (IHQ, CDK, Marketbook, Iron HQ) as required. </li><li>Support sales and marketing by updating listings, ads, and tracking lead sources. </li><li>Coordinate mail distribution, courier services, and office supply orders. </li><li>Schedule appointments and manage meeting room bookings. </li></ul><p><b>Other Duties </b></p><ul><li>Support various departments with administrative tasks as needed. </li><li>Maintain confidentiality and professionalism in handling company and client information. </li></ul><p><b>Qualifications & Experience </b></p><ul><li>High school diploma or equivalent (post-secondary education in Office Administration is an asset). </li><li>Previous experience as a receptionist or in an administrative/customer service role is preferred. </li><li>Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). </li><li>Strong organizational, communication, and multitasking skills. </li><li>Friendly and approachable demeanor with a customer-focused attitude. </li></ul><p><b>Working Conditions</b> </p><ul><li>Office-based role, primarily at the front desk. </li><li>Standard full-time hours, with occasional overtime during busy periods. </li><li>Frequent computer and phone use; sitting for extended periods. </li></ul><p><b>Why Join AgWest? </b></p><ul><li>Competitive compensation and benefits package. </li><li>Supportive and collaborative work environment. </li><li>Opportunity to be part of a leading company in the agricultural industry. </li><li>A role that values professionalism, teamwork, and customer service excellence. </li></ul> <p> Please visit our careers page to see more job opportunities </p>
