<h3>Job Description</h3><p>Job Description<p><p><b>Position:</b> Administrative Assistant<br /><b>Location: </b>Oshawa, ON (Onsite)<br /><b>Structure</b>: Contract 6 months to start<br /><b>Pay:</b> $38.00 - $45.00 p/h inc. or $30.00 - $40.00 T4</p><p><b>--</b></p><p><b>We have a great new opportunity to support one of our Energy Sector clients in a contract capacity!</b></p><p><b>Please see below for more information on the position and if interested, apply with an updated resume aligned to the needs of the role.</b><br />--<br /><strong>Job Overview</strong></p><p><b>Executive & Stakeholder Support</b><br />Provide comprehensive administrative support to senior leadership, interacting professionally with external stakeholders (government and corporate) and internal groups including executives, the Board, and line management.</p><p><b>Correspondence & Document Management</b><br />Draft, review, format, and manage routine and non-routine correspondence and materials; research and compile supporting information; ensure accuracy, confidentiality, and quality of all finalized documents.</p><p><b>Meeting & Governance Coordination</b><br />Plan and coordinate meetings end-to-end, including agendas, logistics, quorum confirmation, materials preparation, attendance tracking, and recording minutes or providing in-meeting administrative support.</p><p><b>Time, Priority & Workflow Management</b><br />Assist in setting priorities, managing schedules, tracking deliverables, coordinating access to leadership, and maintaining follow-up and bring-forward systems to ensure deadlines are met.</p><p><b>Mail, Email & Information Flow Control</b><br />Receive, screen, prioritize, distribute, and track incoming and outgoing correspondence (including confidential materials), highlighting key issues and assembling background information to support timely decision-making.</p><p><b>Records & Information Management</b><br />Establish, maintain, and dispose of physical and electronic records in accordance with retention schedules, security requirements, and corporate policies.</p><p><b>Administrative & Clerical Operations</b><br />Process reports, forms, travel arrangements, expense claims, purchase orders, and routine administrative transactions; review submissions for compliance, accuracy, and policy adherence.</p><p><b>Technology, Equipment & Operational Support</b><br />Maintain proficiency with office systems and equipment; perform minor troubleshooting, train others as required, coordinate workspace and IT changes, and provide backup administrative support during peak workloads or absences.</p><p><strong>Qualifications</strong></p><ul><li>Minimum of 2 years of experience in an administrative support role.</li><li>Exceptional organizational skills and attention to detail.</li><li>Strong written and verbal communication skills.</li><li>Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.</li><li>Ability to prioritize and manage multiple tasks and deadlines in a fast-paced environment.</li><li>High level of discretion and confidentiality.</li><li>Strong problem-solving skills and the ability to work independently.</li><li>Excellent interpersonal skills and the ability to work effectively with all levels of the organization.</li></ul><p>--</p><p>CorGTA is an equal opportunity employer, please apply with an updated resume and ensure the required skills you are able to speak to for this position are included.</p><p>At times, CorGTA or itsclient partners may utilize AI tools to assist with the hiring processes.</p><p></p><p>For more roles like this, please go <span >towww.corgta.com/find</span>-a-job/</p></p></p>Create Your Resume First
