<b>Office Administrator III</b>
<h3>About the Role</h3>
<p>Reporting to the Senior Operations Manager, the Project Administrator provides support to the Operations, Project Managers, and the office. Responsible for completing a variety of tasks including coordination, administrative, financial and logistical support.</p>
<h3>Key Responsibilities</h3>
<ul>
<li>Respond to email and telephone queries and direct clients to the appropriate individual as required.</li>
<li>Various administrative duties as requested and/or required including filing and scanning.</li>
<li>Maintain cleanliness of the office and kitchen/breakout areas.</li>
<li>Manage keycards, keys and parking passes for the office employees (requests and cancellations).</li>
<li>Assist Project Managers in coordinating the activities of project teams to ensure projects progress on schedule and within budget and with the desired quality.</li>
<li>Provide administrative support to project teams and various departments within the office.</li>
<li>Assist the Project Manager with proposal preparation and costing.</li>
<li>Document formatting and editing of project documents and proposals in accordance with company style guide.</li>
<li>Obtain quotes from vendors/subcontractors and support project cost estimates.</li>
<li>Arrange project-related activities including developing and tracking schedules, logistics, materials shipments, and sub-contractors.</li>
<li>Maintain effective relationships with third parties, vendors and sub-contractors.</li>
<li>Enter vendor invoices, receipts, expense claims, and sales invoices into accounting software.</li>
<li>Perform all other related duties as required.</li>
</ul>
<h3>Required Skills and Experience</h3>
<ul>
<li>A Bachelor's degree in a relevant background.</li>
<li>5+ years of project administration experience.</li>
<li>Computer skills including Microsoft Office Suite.</li>
<li>Excellent written and oral communication.</li>
</ul>
